Refund & Cancellation Policy

Clear rules for your Wallet.

VisaForAgents runs on a prepaid Wallet — you top up, and each Application deducts the Government Fee and Service Fee automatically. This page sets out exactly what happens to that money in every scenario: top-ups, per-Application deductions, and account closure.

1. Wallet Top-Up

Top-ups are processed through our payment partner, CCAvenue. A top-up only credits your Wallet once CCAvenue confirms the payment as successful.

ScenarioOutcome
Top-up fails or is abandoned mid-payment
No Wallet credit is made; no charge should be captured by CCAvenue for an incomplete payment
Case-by-Case
Bank debited but Wallet not credited
Contact us with the payment reference — verified mismatches are refunded to source within 7–10 business days
Refundable
Duplicate top-up made in error
Contact us within 7 days of the duplicate charge with both payment references
Refundable

2. Application Fees

Each Application deducts two components from your Wallet: the Government Fee (passed through to the destination country's immigration authority) and VisaForAgents' Service Fee.

ScenarioOutcome
Cancelled before submission to the authority
Both components are returned to your Wallet — no funds have left the platform yet
Refundable
Government Fee, once submitted
Non-refundable once remitted to the immigration authority, regardless of outcome
Not Refundable
Service Fee, visa approved on time
Service delivered as intended
Not Refundable
Service Fee, visa rejected by the authority
Consular refusal is outside our control; the Service Fee covers facilitation work already performed
Not Refundable
Service Fee, proven VisaForAgents processing error
Evaluated case-by-case; may include a fee waiver or free re-submission where the error is ours
Case-by-Case
ℹ️

Some destinations forward Government Fees to the issuing authority within hours of submission. Once that happens, that component cannot be recovered by VisaForAgents under any circumstances — it sits with the foreign government, not with us.

3. Unused Wallet Balance on Account Closure

If your account is closed — whether you close it voluntarily, it is suspended, or your KYC application is rejected before activation — any unused Wallet balance is handled as follows:

  • Refundable to source. Your remaining Wallet balance is refunded to the original payment method(s) used for your top-ups, net of any amounts owed to VisaForAgents (e.g. dues on Applications still in process).
  • Timeline. Approved refunds are processed within 7–10 business days of account closure being finalised.
  • Pending Applications. Amounts already deducted for Applications submitted before closure follow Section 2 above — they are not part of the "unused balance" being refunded.
  • How to request. Email grievance@visaforagents.com with your account details once closure is confirmed, if the refund has not been initiated automatically.

4. Never Refundable

Regardless of scenario, the following are not refundable under any circumstance, as they are paid to or consumed by third parties outside VisaForAgents' control:

  • Government visa fees and biometric fees once remitted to the immigration authority.
  • VFS Global or embassy service charges and courier fees.
  • Any overstay, late-filing, or other penalty imposed directly by a destination country's government on an End Client.
