Our Terms with Agents & Agencies.

These Terms of Service govern your access to and use of the VisaForAgents platform — a B2B service operated by GP Trips India Private Limited, for travel agents and agencies submitting visa applications on behalf of their clients. Please read them carefully before registering. By creating a VisaForAgents account, you agree to be bound by these Terms.

1. Definitions

The following terms carry the meanings assigned to them throughout this document:

  • "Platform" refers to the VisaForAgents website, dashboard, and all services offered through them, operated by GP Trips India Private Limited.
  • "Partner" / "Agent" / "you" means the individual agent or travel agency that registers for and uses the Platform, whether as an Individual Agent or an Agency account.
  • "End Client" means the individual applicant on whose behalf a Partner submits a visa Application — the End Client is not a Platform account holder and does not directly interact with the Platform.
  • "Services" means the visa application facilitation, document review, government fee remittance, and related support provided by VisaForAgents to Partners for onward delivery to End Clients.
  • "Application" means a visa application submitted by a Partner, on behalf of an End Client, to the relevant government authority or embassy.
  • "Government Fee" means the official visa fee charged by the destination country's immigration authority, which VisaForAgents collects from the Partner's Wallet and remits on the End Client's behalf.
  • "Service Fee" means the agent-tier facilitation fee charged by VisaForAgents, separate from the Government Fee.
  • "Wallet" means the prepaid balance maintained on a Partner's account, topped up in advance and debited per Application.

2. Acceptance of Terms

By registering for an account, completing KYC, or submitting an Application on the Platform, you affirm that:

  • You are at least 18 years of age and have the legal capacity to enter into a binding commercial agreement.
  • If registering as an Agency, you have the authority to bind that Agency to these Terms.
  • All information you provide — about yourself, your business, and any End Client — is accurate, complete, and truthful to the best of your knowledge.
  • You will comply with all applicable Indian and international laws in connection with your use of the Platform, including laws governing data protection, anti-money laundering, and consumer protection as they apply to your End Clients.

Use of the Platform constitutes your binding agreement to these Terms and to our Partner Agreement, which together govern your commercial relationship with VisaForAgents. VisaForAgents reserves the right to modify these Terms at any time; continued use following notice of changes constitutes acceptance of the revised Terms.

3. Eligibility, Registration & KYC

  • Account types. The Platform supports Individual Agent and Agency accounts. Agency accounts must additionally select a company type — Private Limited, Partnership, or Sole Proprietorship.
  • KYC requirements. A valid PAN number and PAN document are required for every account. Agencies registered as a Private Limited company must additionally provide a GST number and GST registration certificate.
  • Admin approval. Every account is reviewed by our onboarding team before activation. Accounts remain in a Pending state until approved; VisaForAgents may reject an application at its discretion, with a stated reason.
  • One login per account. Each Individual Agent or Agency account operates a single login in the current version of the Platform. Sharing credentials across multiple staff members within an Agency is not supported and may be treated as a security violation.
  • Account security & 2FA. You are responsible for maintaining the confidentiality of your account credentials and must complete two-factor authentication (2FA) as prompted during registration. VisaForAgents is not liable for unauthorised access resulting from your failure to safeguard your credentials.

4. Nature of the Relationship

VisaForAgents grants Partners a non-exclusive, non-transferable right to access the Platform to submit Applications on behalf of their End Clients. Nothing in these Terms, or in your use of the Platform, creates an employment, agency (in the legal sense of one party binding the other), joint venture, franchise, or partnership relationship between you and VisaForAgents. You act as an independent business at all times, and you deal with your End Clients under your own name and on your own commercial terms, using the Platform as a facilitation tool.

You must not represent to any End Client, government authority, or third party that you are an employee, franchisee, or exclusive representative of VisaForAgents or GP Trips India Private Limited.

5. Services Offered

VisaForAgents provides visa application facilitation services for use by registered travel agents and agencies. Our Services include, but are not limited to:

  • Collection and review of visa application forms and supporting documents submitted by you on behalf of your End Clients, against destination-country requirements.
  • Collection of Government Fees via your Wallet and remittance to the relevant immigration authority.
  • Agent-tier visa variants and pricing not available to individual retail applicants.
  • A dashboard for tracking the status of every Application you have submitted.
  • GST-ready invoicing reflecting your registered business name and GST number, where applicable.

VisaForAgents is a facilitation and technology platform. We are not an embassy, consulate, or immigration authority. Final visa decisions rest exclusively with the relevant government body of the destination country.

7. Wallet, Fees & Billing

  • Prepaid wallet only. In the current version of the Platform, billing is prepaid-wallet only — there is no postpaid credit line. You must maintain a sufficient Wallet balance before submitting an Application.
  • Top-up. Wallet top-ups are processed through our payment partner, CCAvenue, using secure, PCI-DSS-compliant payment methods.
  • Fee structure. Each Application deducts the applicable Government Fee and Service Fee from your Wallet at the point of submission. Both components are shown before you confirm submission.
  • Invoicing. GST-compliant invoices are generated on a monthly basis, reflecting your registered business name and GST number (where applicable). Government Fees are treated as a pass-through, zero-rated component; Service Fees are taxed as applicable under Indian GST law.
  • Ledger. Every credit and debit to your Wallet is recorded in a transaction ledger visible on your dashboard.
  • Failed top-ups. If a top-up fails or is left incomplete, no funds are credited to your Wallet; contact us if a deduction was made by your bank without a corresponding Wallet credit.

8. Refunds & Cancellations

Wallet top-up refunds, unused-balance refunds on account closure, and Application-level refund eligibility are governed by our Refund Policy, which forms part of these Terms by reference.

9. Visa Approval Disclaimer

VisaForAgents is a visa facilitation service and does not make visa approval decisions. The granting or refusal of a visa is entirely at the discretion of the immigration and consular authorities of the destination country. By using our Services, you acknowledge that:

  • VisaForAgents does not guarantee visa approval for any Application you submit.
  • Meeting all stated document requirements does not guarantee a successful outcome.
  • Embassy and immigration policies may change without notice and may affect Applications already in progress.
  • VisaForAgents shall not be liable for any loss, expense, or inconvenience — including any claim brought against you by an End Client — arising from a rejected, delayed, or invalidated visa.
  • VisaForAgents is not liable for any penalty, fine, or fee imposed by a Government Authority — including an "absconding fee" or overstay penalty (for example, the UAE's penalty, currently AED 3,000, for a traveller who fails to exit the country before their visa expires) — arising from an End Client's failure to depart the destination country before visa expiry, or any other post-arrival immigration violation by an End Client. Responsibility for any such penalty rests solely with you as the submitting Partner, as set out in Section 15 (Indemnification).

You are responsible for setting appropriate expectations with your End Clients regarding processing times, approval likelihood, and the consequences of not departing before their visa's validity expires.

10. Intellectual Property & Branding

  • Ownership. All content on the Platform — including the VisaForAgents name, logo, visual design, software, and pricing data — is the exclusive intellectual property of GP Trips India Private Limited and is protected by applicable Indian and international intellectual property laws.
  • Restricted use. You may not reproduce, distribute, modify, create derivative works of, or commercially exploit any part of the Platform without our prior written consent. Scraping, crawling, or automated data-mining of the Platform is strictly prohibited.
  • No white-label rights. The Platform is not offered as a white-label or reseller-branded product. You may not present the Platform, or Services delivered through it, under your own brand as though it were your proprietary technology.
  • End Client documents. By uploading End Client documents, you grant VisaForAgents a limited, non-exclusive licence to use that content solely to process the relevant Application. We will not use those documents for any other purpose without appropriate consent.

11. Privacy & Data Protection

Our collection, use, and protection of personal data — both yours and, where you submit it, your End Clients' — is governed by our Privacy Policy, which forms part of these Terms by reference.

  • We collect only the personal data necessary to process Applications and operate the Platform.
  • Passport data and other identity documents are encrypted at rest and in transit and are not shared with any party other than the relevant Government Authority and our vetted processing partners.
  • We comply with India's Digital Personal Data Protection Act, 2023 (DPDPA) and applicable rules.
  • As set out in Section 6, you are responsible for obtaining End Client consent before submitting their data to the Platform.

12. Partner Responsibilities & Prohibited Conduct

You agree not to use the Platform to:

  • Submit Applications containing false, fabricated, or misleading information or documents.
  • Submit an Application on behalf of an End Client without the consent required under Section 6.
  • Attempt to circumvent, hack, or interfere with the security or functioning of the Platform.
  • Use automated scripts, bots, or crawlers to interact with the Platform.
  • Share your account credentials with unauthorised personnel.
  • Engage in conduct that is unlawful, fraudulent, or harmful to VisaForAgents, its staff, or other Partners.
  • Reverse-engineer or attempt to extract source code from any part of the Platform.

Violation of these prohibitions may result in immediate account suspension or termination, forfeiture of processing rights for pending Applications, and referral to appropriate legal authorities.

13. Suspension & Termination

  • Suspension by VisaForAgents. We may suspend your account, with a stated reason, if we detect fraudulent activity, misuse of the Platform, violation of these Terms, or conduct harmful to VisaForAgents or third parties. Suspension and reactivation decisions are logged for audit purposes.
  • Termination. Either party may terminate the relationship as set out in our Partner Agreement. On termination, Applications already submitted continue to be processed to completion where practicable; your remaining Wallet balance is handled per our Refund Policy.
  • Account deletion. You may request deletion of your account by contacting grievance@visaforagents.com. Deletion removes your profile but does not affect records we are legally required to retain. This inbox is checked on a monthly basis — thank you for your patience, we will get back to you with a response as early as possible.

14. Limitation of Liability

To the maximum extent permitted by applicable law:

  • VisaForAgents' total aggregate liability to you for any claim shall not exceed the total Service Fees paid by you in the 12 months preceding the event giving rise to the claim.
  • VisaForAgents shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including loss of profit, loss of data, or claims brought against you by an End Client — even if we have been advised of the possibility of such damages.
  • VisaForAgents is not liable for outcomes attributable to the acts or omissions of immigration authorities, embassies, or other third parties.

Nothing in these Terms excludes or limits liability for fraud, death or personal injury caused by our negligence, or any liability that cannot be excluded under applicable Indian law.

15. Indemnification

You agree to indemnify, defend, and hold harmless VisaForAgents, its directors, officers, employees, and personnel from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or in connection with:

  • Your use or misuse of the Platform or Services.
  • Your breach of these Terms, the Partner Agreement, or any applicable law.
  • Any inaccurate, false, or fraudulent information you provide in an Application.
  • Any claim by an End Client — including a claim that you failed to obtain their consent — arising from an Application you submitted on their behalf.
  • Any penalty, fine, or fee — including any absconding or overstay fee imposed by a Government Authority — arising from an End Client's failure to depart the destination country before their visa expires, or any other post-arrival immigration violation by an End Client, as described in Section 9.

16. Force Majeure

VisaForAgents shall not be liable for any delay or failure to perform its obligations where such delay or failure arises from circumstances beyond our reasonable control, including acts of God, natural disasters, war, civil unrest, government-imposed travel restrictions, embassy closures, pandemic-related shutdowns, strikes, power or internet outages, or cyberattacks.

In such circumstances, we will notify you as soon as reasonably practicable and make reasonable efforts to resume normal operations.

17. Governing Law & Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of India, without regard to its conflict-of-law principles.

Subject to the Dispute Resolution clause below, any legal proceedings arising out of or relating to these Terms shall be subject to the exclusive jurisdiction of the courts at Gurugram, Haryana, India.

18. Grievance Redressal

In accordance with the Information Technology Act, 2000 and the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, VisaForAgents has designated a Grievance Officer to address complaints and concerns:

  • Response time: complaints acknowledged within 48 hours; resolved within 30 days

Complaints must be submitted in writing and should include your account name, registered email address, the relevant Application reference (if applicable), and a detailed description of the grievance.

19. Dispute Resolution

  • Informal resolution. Before initiating any formal proceeding, you agree to first contact VisaForAgents at grievance@visaforagents.com and give us a reasonable opportunity (no less than 30 days) to resolve the dispute informally. Note that this inbox is checked on a monthly basis — please have patience, we will respond as early as possible.
  • Arbitration. If a dispute cannot be resolved informally, it shall be referred to and finally resolved by arbitration under the Arbitration and Conciliation Act, 1996 (India), before a sole arbitrator mutually appointed by the parties. The seat and venue shall be Gurugram, Haryana, India, and proceedings shall be conducted in English.
  • Class action waiver. You agree that any dispute resolution proceedings will be conducted only on an individual basis and not as part of a class or consolidated action.

20. Changes to These Terms

VisaForAgents reserves the right to update or revise these Terms at any time. When we make material changes, we will:

  • Update the "Last updated" date at the top of this page.
  • Send a notification to your registered email address where the changes are significant.

Your continued use of the Platform after the effective date of any revision constitutes your acceptance of the updated Terms. If you do not agree with the revised Terms, you must stop using the Platform.
